Exhibition logistics is door-to-booth transport and temporary-import clearance for exhibits, booth materials and demo equipment: goods enter under a temporary customs status, leave again after the show (or convert to a regular import), and stay under customs supervision throughout.
What makes exhibit cargo different
| Dimension | Ordinary import | Exhibit cargo |
|---|---|---|
| Time window | Schedules can slip by a few days | Build-up day is a hard deadline — late crates mean an empty booth |
| Customs status | Regular import, duties paid | Temporary import or ATA Carnet, entered duty-free against a guarantee |
| One-way vs return | Sold, then done | Must be re-exported in the same condition; if not, the guarantee is claimed |
The chain, in six steps
| Step | Action | Who |
|---|---|---|
| 1 · List pre-check | Descriptions / serials / values match the invitation; pick Carnet or temporary import | You provide the list, we pre-check |
| 2 · China leg | Pickup, crating, export declaration (or carnet export endorsement) | Us |
| 3 · Main leg | Air for urgent samples, ocean for machinery and booth materials | Us |
| 4 · Indonesia entry | Temporary-import filing or carnet clearance, guarantee, port release | Licensed PPJK (our team) |
| 5 · Venue leg | Delivery into the hall within the slot, empty-case storage | Us + venue handler |
| 6 · Re-export | Dismantle, re-export endorsement, return or convert to import, close the guarantee | Us |
Two lanes — pick one before shipping
| ATA Carnet | Indonesian temporary import | |
|---|---|---|
| Guarantee | Posted once at origin (CCPIT system for China) | Cash or bank guarantee at the Indonesian port |
| Best for | Multi-country tours, repeated entries | A single fair, single entry |
| Filing | Clearance against the carnet itself | Indonesian temporary-import procedure |
| Key constraint | Not every venue can process carnets | Requires fair invitation and re-export undertaking |

How typical exhibits travel
| Type | Typical routing | Prepare in advance |
|---|---|---|
| Machinery / full units | Ocean flat-rack or breakbulk, temporary import | Out-of-gauge dimensions, lifting plan |
| Functional samples | Air, carnet or temporary import | May trigger SNI / SDPPI — pre-check |
| Booth materials | Ocean LCL, declared with the exhibits | One consolidated list — don't split into two filings |
| Brochures / gifts | With the exhibit or by courier | Declare true quantities to avoid a "sales import" finding |
Three places exhibitors get stuck
- No written venue confirmation for carnets — not every Indonesian venue processes them; confirm with the organiser before departure (source below).
- List doesn't match the crates — mismatched serials, counts or values are the most common trigger for inspections.
- Selling samples on the spot — goods under temporary status cannot be sold. A real buyer means converting to regular import and paying the duties, before ownership changes hands.
Trade show logistics · FAQ
How is exhibition logistics different from ordinary freight forwarding?
Three things: goods move under a temporary status backed by a guarantee; build-up day is immovable; and everything must be re-exported and verified. A forwarder without temporary-import practice at the Indonesian port usually stalls at step four.
For an Indonesian fair, carnet or temporary import?
One fair, one entry — temporary import is the more direct route. Multi-country tours or repeated entries — a carnet saves re-posting a guarantee at every border. Either way, confirm the venue accepts carnets first.
Can we sell exhibits at the show in Indonesia?
Not under temporary status. If a buyer emerges, convert the entry to a regular import and settle duties before the goods change hands. Items intended for sale from day one are safer imported normally.
How early should exhibit shipping be arranged?
Count back from build-up day: ocean machinery needs weeks of lead time including clearance, air samples less. Channel choice and guarantees also take time — send the list as soon as it's drafted.
